The challenge
In peak leasing season the team was drowning in inquiries. Not every lead got a reply, and the ones that did often waited too long.
Every vacant day is lost rent, and the busiest weeks of the year are exactly when follow-up slips.
What we built
01
Answer every lead
Most outreach and replies are handled automatically and consistently, with the property details and the conversation so far as context. People step in where judgment matters.
02
Keep the list clean
When a home leases, interested prospects are offered similar homes. Leads that go quiet are closed out, so the team works a live list instead of a graveyard.
03
Automate the busywork
Tour feedback requests and application requirements go out automatically at the right moment, without anyone remembering to send them.
04
A daily priority list
Each morning the team gets a digest in Asana ranking the leads most worth calling, based on stated qualifications and tour interest, with tasks, comments and due dates already set.
OBOps Bot · Today at 5:21am
35 leads across 2 homes are open. Today’s calls are in the task above; this is everything behind them.
- Active: 19 — in progress, no recent movement
- Contact attempted: 12 — called or texted, no answer yet
- Toured: 3 — walked through, no application yet
Silence since the last real contact
- 2 over 5 days, longest is 10 days
- 13 between 2 and 5 days
1 lead moved to Dropped, No Response this morning
The rule: 3 attempts on 3 different days over at least 7 days, nothing back, no tour. Anyone wrongly dropped: move them back and they will not be dropped again.
What we learned
The leak was not marketing; it was follow-up. Automating the unglamorous steps between inquiry and application is what filled the homes.
